Job Description: VIDA Manager 



Patient/Client Relations

  • Scheduling 

    • Managing the daily practitioner schedule

    • Primary point of contact for all patients/clients

    • All Calls, Texts & Emails communications 

  • Account Management 

    • Ensure that all patient/client account & billing information is accurate

    • Ensure that all patient/client accounts are fiscally up to date 

    • Follow up on any outstanding patient/client accounts

    • Oversee medical billing procedures 

  • Email

    • Create & maintain the Mail Chimp list

    • Add new subscribers to the appropriate patient/client to Mail Chimp list

    • Maintain weekly Mail Chimp communications 

    • Filter through inquiries and direct patient/client emails as needed

    • Manage inboxes

  • Social & Website

    • Respond to & follow up on incoming Social or Website inquiries

    • Schedule IG, FB, YT & TT posts

    • Manage all social media accounts



  • Inventory 

    • Ordering

    • Daily inventory & tracking

    • Processing for sale (in-store and online)

  • Meals Program

    • Ordering

    • Daily inventory & tracking

    • Processing for sale (in-store and online)


Store Management

  • Retail displays

  • Opening & Closing Procedures

  • Sales procedures

  • Special Events & Classes 



  • Run the online store (marketing, sales & inventory)

  • Develop Policy & Procedures Manual with CEO

  • Pull weekly financial statistics & review at weekly Management meeting

  • Meet with CEO 1x/week for Management meeting

  • Meet with VIDA Team 1x/month for All VIDA meeting

  • Oversee Classes & Coaching operations & maintain statistics



Full-time 40 hours/week 



Preferred experience

  • 5 years managing a team in a corporate setting or small-business owner

  • Proficient at MS Word, Excel & Powerpoint

  • Comfortable with Email as primary form of communications
